Project Coordinator – Retail / Point of Sale

Role Overview
The successful candidate will report directly to the Senior Program Manager and will be responsible for planning, managing, and monitoring project inventories across multiple accounts. The ideal applicant will possess a solid background in project coordination, particularly within the Retail Display / Point of Sale industry, and demonstrate exceptional organisational and communication skills.
Main Responsibilities
- Manage inventory requirements to ensure availability for customer call-offs, proactively addressing shortages through effective action plans.
- Prepare batch proposals to secure customer commitments for inventory production.
- Coordinate production schedules and monitor project progress in line with customer commitments.
- Create production orders and oversee assembly and model shop production as required.
- Complete necessary launch documentation for production processes.
- Set up Part Numbers, Bills of Materials, and related components within the company’s system.
- Support estimating activities by liaising with suppliers for cost-effective solutions and communicating detailed requirements.
- Prepare monthly inventory reports, monitor aged stock, and manage invoicing processes aligned with customer agreements.
- Proactively oversee order progress, identifying potential issues and implementing solutions.
- Assist in processing sales quotes and orders, including all delivery and export documentation.
- Coordinate with internal teams, suppliers, and customers to ensure timely order fulfilment and logistics.
- Participate in customer meetings alongside Account, Program, and Project Managers.
- Maintain accurate and updated records within company databases, including Excel and business management software.
- Respond effectively to customer enquiries and process call-offs, keeping all stakeholders informed.
- Support production, product development, sales, and marketing teams as needed.
- Contribute to weekly reports and project status updates for senior management.
- Assist in monthly KPI reporting and customer service enquiries.
- Undertake additional duties assigned by the Line Manager.
Candidate Profile
Essential Skills & Experience
- Minimum of 4 years’ administrative experience, ideally involving inventory management and project coordination.
- Experience managing inbound and outbound shipments globally, including export and customs documentation.
- Familiarity with international warehouse operations.
- Strong organisational and time management skills, capable of juggling multiple projects under tight deadlines.
- Proficient in Microsoft Word, Excel, and Project software; experience with ERP systems is advantageous.
- Excellent communication skills—verbal and written—with the ability to engage effectively at all levels.
- Attention to detail and a proactive approach to problem-solving and decision-making.
- Self-motivated team player with a desire to learn manufacturing and production techniques.
Desirable Qualifications & Attributes
- Level 3 qualification, A Levels, or equivalent experience.
- Current driving licence and willingness to travel within the UK and overseas.
- Valid passport for international travel.
- Experience working with international warehouses and export documentation.
- Knowledge of production techniques in the Retail Display / Point of Sale industry.
